Frequently Asked Questions
How do I make a booking?
Simply contact us with your preferred dates, group size and the type of experience you're interested in. We'll prepare a tailored proposal and reserve availability where possible while you confirm details and arrange payment.
Once payment is received, your booking will be confirmed and final information will be provided.

How far in advance should I book?
The earlier the better, particularly during peak school trip periods, such as in March, June and July.
Many workshops, theatre tickets and attractions can be reserved in advance, helping us secure the best availability and pricing for your group.
As a general rule, just one or two activities, 2-3 months' notice is ideal. If booking a longer trip, 6-9 months' notice is better.
Can workshops be tailored to our needs?
Absolutely! Every Theatre Workout workshop is created around your group and can be adapted to:

We'll ask a few questions before your visit so we can tailor the session to your learners.
Can we amend our booking?
In most cases, yes, but it depends on the nature of your booking.
Changes to dates, timings, group numbers or workshop content can often be accommodated before final confirmation and, in some circumstances, after payment.
Additional costs may apply if suppliers charge amendment fees, or new tickets need to be purchased.
What happens if our numbers change?
We understand that group numbers can change for many reasons, and this can be out of your control.
Please let us know as soon as possible and we'll advise on any options available. The earlier we are informed, the more flexibility we can usually offer.
What if we need to cancel?
Reservations that have not been paid for can usually be cancelled without charge.
Once payment has been made, bookings are generally non-refundable because workshops venues, theatre tickets, and other services are secured and paid for in advance.
If circumstances change, we'll always do our best to explore alternative dates, credits or solutions wherever possible.
Do you provide risk assessments or insurance?
Yes. Risk assessments and relevant documentation can be provided upon request for all Theatre Workout-operated activities.
Theatre Workout has legally required Public Liability insurance to cover all its activities, and Tour Operator insurance to protect your group at any third-party activity. Theatre Workout also includes Financial Failure insurance on any Group Package Travel bookings.
However, these do not cover your group against cancellation or curtailment. Groups are advised to secure their own group travel insurance, particularly for longer trips.
Are Theatre Workout practitioners DBS checked?
All our practitioners are working industry professionals, such as actors, singers, dancers, directors, and other creatives. All are professionally trained and experienced in their field.
All practitioners have been vetted, including appropriate DBS certification, and follow Theatre Workout safeguarding procedures.
Do we need insurance?
Theatre Workout has legally required Public Liability insurance to cover all its activities, and Tour Operator insurance to protect your group at any third-party activity. Theatre Workout also includes Financial Failure insurance on any Group Package Travel bookings.
However, these do not cover your group against cancellation or curtailment. Groups are advised to secure their own group travel insurance, particularly for longer trips.
We're a school or charity - do we have to pay VAT?
Yes - VAT is charged on all bookings, unless that service is exempt, such as coach travel.
Something went wrong - what do I do?
If something goes wrong, you should first contact the service provider, such as hotel or restaurant staff.
If you are unable to resolve an issue directly, please contact Theatre Workout using the contact information on your confirmation documents.
I have a discount code - what do I do with it?
Discount codes must be quoted at the time of booking and cannot be applied once the booking has been confirmed.
Can we arrange extra security or support for our group?
Yes.
Tour Leaders are a great way to secure additional support for your group. They will escort you from one activity to another, manage tickets and suppliers, and by your primary point of contact during your trip.
In London, Tour Leaders will join you on a day-rate, meeting you at your accommodation in the morning, and accompanying you until you return at the end of the day. They will join you for meals and some activities.
Out of London, Tour Leaders will join you on a 24/7 basis, staying in your hotel.
Overnight security can be arranged in advance to monitor and safeguard your group. This can be arranged in consultation with your hotel, or with private security services on request.

To ensure the smooth running of your workshop, a two-way relationship must be developed between our workshop or event leader(s) and your group. Participants, Group Leaders and Theatre Workout's Practitioners are all expected to adhere to our code of conduct.
What do I need to bring/wear?:

All workshops are interactive, and you are advised to wear suitable attire or bring a change of clothing with you. Comfortable, loose-fitting clothing is ideal with suitable footwear.

Heeled shoes, boots, tight-fitting or restrictive clothing is not advised. You may be asked to remove these items for health and safety, and for productivity reasons.

Venue names are always listed on your invoice and other booking documents.

How much do workshops cost?
A: Prices depend on the nature of the booking you want to make. We make every effort to keep our costs low and to subsidise workshops for schools and youth groups, particularly from disadvantaged backgrounds, so have higher rates for leisure and corporate groups. Prices are generally based on the group size and event duration. Minimum rates apply:
School Groups: West End & Stratford-Upon-Avon Theatre Workshops
Educational West End or Stratford group prices are based on groups of 25+. Teachers go free but must be present and are encouraged to participate. Prices include VAT, studio hire, practitioners and tailoring to your group:

A surcharge of £2.50 per person applies for any workshops on film acting, armed stage combat, and make-up demonstrations, due to extra equipment and resources required.
London Art Workshops
Theatre Workout's own Art workshops must be booked and paid for at least three weeks in advance, to allow time to source the venue, teaching artist, and arrange for the delivery of resources. Other, third-party experiences may differ.
Prices for London Art Workshops start at a base rate for the venue and teaching artist, plus the cost of materials per student present. Each student will receive their own set of materials, including a sketch pad plus a set of your chosen medium at the following rates:

School Outreach Workshops
Outreach workshops prices are significantly cheaper than our studio-based workshops, and are based on one practitioner working with a group of up to 30 students per session. We can work with one group for the full duration of a booking, or with multiple groups in shorter sessions back-to-back sessions to cater for more classes, thus splitting the cost among more students. Prices include VAT, your practitioner, tailoring to your group, travel, accommodation (outside of London), and all other materials and delivery expenses.
London Outreach
As a London-based company we are able to offer reduced rates to schools within the M25. Prices are based on one practitioner delivering all sessions:

Do teachers have to pay for workshops?
No, teachers accompanying student groups are free but must be present and we do encourage them to participate.
Where do workshops take place?
We use a variety of spaces across London's West End, and in Stratford-Upon-Avon, most of which are within walking distance to theatres, etc. Where possible, we will book studios based on the size of your group, and the nature of workshop you want your group to do. We may also take into consideration the logistics of your day, to be close to other activities you are doing before and after the workshop.

If you want a workshop at Pineapple Dance Studios, please note that this venue usually requires a 4-hour minimum hire. We can therefore run two, two-hour workshops back to back (minimum fees apply), or a single workshop lasting a minimum of three hours.
Are there minimum or maximum numbers for your workshops?
No. We will work with any group of any size, age, ability etc. However, for large groups we may split them between different studios with multiple workshops running simultaneously.
Are there any minimum fees for workshops?
Yes. Prices vary depending on the nature of your event but based on the group rates listed above. Please contact Theatre Workout for more information.
What is the youngest age Theatre Workout caters for?
This depends on the programme booked, but we do work with children from Reception age (4+). There is no upper age limit!
Can we eat in our workshop studio?
Most studios do not allow consumption of food without permission. If you want to hire the studio for your group to eat packed lunches etc after your workshop, studios must be hired for the extra time and a member of Theatre Workout staff must be present to ensure the space is left as it was found as we are responsible for the studio.
Written permission must be received from Theatre Workout confirming the venue’s consent and the extra hire must be paid for.
If workshops are cut short to enable you to eat without the extra hire, written consent is still required and permission must be sought from the venue management.
Photography and Filming
Theatre Workout reserves the right to record any of its workshops for internal documentation, staff assessment, and quality control. This may include the taking of photographs or video.
If any images or recordings are suitable for marketing purposes, authorisation will be sought from the school and or students before use.
Theatre Workout permits clients the use of photography and filming in its workshops. Any copies provided to Theatre Workout for the companies own documentation would be gratefully received.
Permission to take photos or to film outside the workshop studio must be obtained from the venue management.
Accidents and illness
Theatre Workout staff are trained to avoid accident or injury in all workshops, however some workshop content may involve some degree of risk, such as in stage combat, or any other physically based workshop, such as dance or physical theatre. Practitioners will always exercise caution when conducting any exercise.
Theatre Workout can take no responsibility for unavoidable accidents outside of its control during the workshop or within the workshop venue, caused by individuals within the group, other persons within a venue, or by the physical venue itself.
In the event of a student suffering an accident during a workshop with Theatre Workout:

Both Theatre Workout staff and the group leader will establish what action needs to be taken and will put any measures in place together

In the event of minor issues, the affected individual should be cared for by group leaders/teachers while the practitioner continues with the workshop.

In more serious circumstances, a workshop may be terminated, especially if the health and safety of the group is of concern.

Theatre Workout staff may not be able to provide any form of medical treatment. If necessary, Theatre Workout or venue staff may contact the emergency services. The group leader must ensure that the child is cared for until further help arrives

Details of all accidents should be reported to the Theatre Workout main office in writing by both the workshop leader and the group leader
First Aid Kits are usually located within each workshop venue. Please consult venue staff if necessary.
Any known health or welfare issues affecting individuals within a group should be reported at the time of booking. Measures can be taken to avoid triggering any conditions.
Emergency contact details
Supervising teaching staff should have access to emergency contact information for the students in their care, and should have parental consent for the students to participate in any workshop with Theatre Workout.

DMC Hospitality services
This section is all about broader trip arrangements organised by Theatre Workout, for services including theatre tickets, backstage tours, meals, travel by coach and train, B&B accommodation and more.
How do we get our tickets or vouchers?
Tickets, such as for theatre performances or train travel will be forwarded to you as e-tickets. In all other instances, Theatre Workout will provide you with vouchers for any activity booked
Do we need to pre-order meals?
Yes - we will provide you with a set menu, from which you can order at least 10-14 days in advance.
If you have any dietary requirements, these can be catered for.
Guests with severe allergies will usually be catered for on the day, arranging freshly prepared meals direct with restaurant staff to avoid any miscommunication.
How does Theatre Workout source third party suppliers?
Theatre Workout has long-standing relationships with most of our suppliers, who have proven to be reliable. In most cases we deal direct with the supplier, or with specialist brokers, to ensure the best possible service for our clients.
Brokers and Wholesalers:
Coaches are arranged primarily through specialist brokers, who work with national service providers and conduct full vetting, safeguarding and insurance checks on our behalf. In the event of vehicle breakdown, safety concerns, or other vehicle issues, solutions can be implemented.
Drivers follow strict EU regulations on permitted driving hours, breaks and rest periods. Driver hours begin at the point of departure from their depot, not from the time of collection of your group. In some instances, additional drivers or local services may be required to complete bookings.
In some instances, other services, such as restaurants and attractions are also booked via specialist wholesalers to secure the best availability and prices for groups.

In most instances, Theatre Workout deals direct with accommodation providers, restaurants, theatres, attractions and other experience providers.
