Theatre Workout offers a bespoke service. Any information you provide about your group will be used to ensure you and your group receive the best possible service from Theatre Workout and its partners. The more information you provide about you’re group and their requirements, the better the service we can provide.

 

Please complete and return the Booking Form supplied with your invoice to tell us about your group before payment is made. Theatre Workout cannot guarantee to cater for all your needs if information is received post payment.

 

Agents: please ensure this information is forwarded to your clients.

Terms and Conditions
Definitions
  • Estimate: An unconfirmed estimate for requested services, events or packages which cannot be guaranteed until reservations are made. Estimates are based on similar bookings for other clients, priced with a from £x to £y range.

  • Quote / Reservations: Quotes are provided when goods and/or services have been reserved with suppliers for a specified amount of time. Such reservations are subject to a specified number of tickets/people, for set dates and times, activities, etc. Reservations must be paid by the due dates given to secure the booking as offered. Reservations can be amended in any way, including changing dates, times, content, etc before the deadline. Any changes or missed deadlines may result in changes to prices and allocations offered.

  • Paid Booking: A booking which has been paid for, or which has been confirmed on account by arrangement with Theatre Workout. No refunds or exchanges are offered on a paid booking.

  • Account Confirmation: A process of confirming a booking for partner agents, whereby the booking is treated as paid, but without immediate payment. Payment is required within a set time-frame to finalise arrangements by agreement. Bookings confirmed on account are subject to all standard terms and conditions, as if they have been paid for.

  • Confirmation: A verbal or written intention to pay, but where payment has not been processed. Confirmed bookings without payment are treated as a reservation until payment is received.

  • Extension: Arrangement of more time to confirm or pay for a booking. Theatre Workout may not have control over deadlines as this can be dictated by suppliers for third party packages or for venues used to deliver its own workshops and courses.

  • Overdue: When bookings have not been paid for, the deadline has passed, and bookings may be cancelled by suppliers. An urgent update is required to cancel, extend or secure a booking with suppliers. Agreed fees and services cannot be guaranteed if a booking becomes overdue.

  • Cancellation: A booking can be cancelled by Theatre Workout, it’s suppliers or the client at any time before payment is received.

  • Theatre Workout: us, we, our, the company, our practitioners,

  • Clients: you, your, their, they,

  • Force-majeure: extraordinary event or circumstance beyond the control of Theatre Workout, such as a terrorist attack, riot, serious crime, epidemic or pandemic, acts of terrorism, fire, extreme weather conditions (flooding, hurricane), fire which directly impacts booked activities.

  • Our services: West End workshops, Outreach workshops, events and programmes we create,

  • Third-party services: booking of venues, tickets, tours, attractions, accommodation, travel, meals and other activities not produced or created by Theatre Workout, but which are booked on the client's behalf.

 

General Terms and Conditions
  1. Clients are responsible for ensuring that all booking details contained on their invoice, or within other booking confirmation documents produced by Theatre Workout, are correct. This includes dates, times, quantity of tickets, and all other content of their package. Any errors must be communicated to Theatre Workout in writing at the earliest opportunity.

  2. Invoices and other accompanying documentation are provided in place of a contract. Theatre Workout will be obliged to deliver all sold services once the booking is paid for. Failure by clients to meet the booking terms and conditions provided may result in cancellation of their booking, or may incur additional fees.

  3. All invoices are inclusive of UK VAT at the current applicable rates for the different services booked. Once paid, a VAT receipt will be issued.

  4. Some exceptions to VAT include travel arrangements such as coach hire or London Underground travel cards.

  5. All prices offered on estimates, quotes or reservations are inclusive of booking fees charged by Theatre Workout.

  6. Individual bookings are usually booked and paid for in a single transaction, but in some circumstances can be reserved for up to 72 hours while payment is processed. As a general rule these bookings cannot be refunded or exchanged once the sale is complete.

  7. Group bookings can usually held for about three weeks without payment. Clients can cancel or amend their booking in any way during this time. Any amendments to booking may be subject to price fluctuations due to changes in availability or supplier offers.

  8. Once paid for, bookings can not be refunded or exchanged.

    1. In some circumstances it may be possible to amend bookings after payment has been made. Amendments to paid bookings will be at the discretion of Theatre Workout and/or it’s suppliers and are subject to availability of new services required. Such amendments may incur a £25 administration fee. Other supplier fees may also apply.

  9. Group bookings of packages, such as multi-date packages containing travel, accommodation, tickets, and multiple services may be offered payment plans with staggared payments. Payment plans are offered subject to the discretion of Theatre Workout and it's suppliers, and all deadlines and amounts due are subject to the same terms and conditions listed here.

  10. Failure to pay an invoice by the due date may result in the cancellation of reservations with or by suppliers. Theatre Workout cannot guarantee availability if invoices are not paid in full or on time. Please contact Theatre Workout at the earliest opportunity to discuss extending your booking if required.

  11. Once a booking is confirmed, final details of the booking will be confirmed in writing. Clients must check all information to ensure no mistakes have been made and that all confirmed details of their booking are correct.

  12. Should the details of a booking be incorrect the client must alert Theatre Workout to resolve no later than seven days after confirmation. Workshop content may be changed no later than seven days prior to the start of the workshop.

  13. Theatre Workout offers to tailor each workshop to a client’s needs. A workshop development form will be sent at the time of the booking for clients to provide Theatre Workout with any specific requirements. Please provide this information along with payment and no later than 14 working days in advance of an event date.

  14. Should Theatre Workout be forced to cancel a studio workshop (such as in a West End or Stratford-Upon-Avon studio) due to issues relating to the provision of practitioners or venues on the day (such as travel disruption preventing practitioners arriving, practitioner illness or other issues on the day which could not be rectified), an alternative will be offered, including the option of a workshop at the client's own venue at a later date. If alternatives are not possible, a full refund will be provided.

  15. Should Theatre Workout be forced to cancel an outreach workshop (such as in a client's own school or offices) due to unexpected issues relating to the provision of practitioners (such as travel disruption preventing practitioners arriving, practitioner illness or other issues on the day which could not be rectified), an alternative date will be offered. No refunds will be offered.

  16. Should the duration of a workshop or event be cut short by Theatre Workout by more than 15 minutes, due to unavoidable circumstances outside its control, a pro-rated refund may be offered for the lost time, if the event cannot be extended at the end of the session. This may include issues such as travel delays affecting a workshop leader’s inbound journey.

  17. If a workshop is cancelled by the client, or the client fails to attend, no refund will be due under any circumstances.

  18. Theatre Workout is not responsible for delays or cancellations of services which were not booked through Theatre Workout.

  19. Theatre Workout is not responsible for the delivery of any third party bookings made as part of a a backage booking.

    1. If clients have any questions or concerns in advance about such bookings, they can be directed through Theatre Workout to resolve.

    2. If any issues occure on the day, which cannot be rectified directly with on site staff, such as at a restaurant, hotel or theatre, they can escalate to Theatre Workout to investigate and resolve on the client's behalf.

    3. Any complaints post-trip should be directed through Theatre Workout, who will investigate. Any refunds or compensation will be processed on the client's behalf.

Q: How do I pay for my booking?

A: Payment details are provided on your invoice. You can pay by bank transfer, cheque, and by card via Stripe on request.

Q: I need to change my booking - is that possible?

A: If your booking is still reserved, you can amend any aspect of your booking. This includes changing dates, times, workshop content, show choices etc, but may be subject to price changes.

​

If your booking has been paid for, additional fees may be charged for changes to your booking. Studios, theatre tickets, and other hospitality expenses are paid for once payment is received from you. These bookings cannot be cancelled, therefore changes may incur additional studio hire fees, new theatre tickets, etc. which will be passed on to clients.

​

Theatre Workout may charge a £25 administration fee for arranging changes to confirmed bookings.

Clients are advised to check all booking details before payment is made to prevent later changes to the booking.

​

Code of Conduct – All bookings

All Theatre Workout practitioners, third-party partners, and our clients are expected to follow the same standard rules of conduct. Acts of physical or verbal abuse or discrimination will not be tolerated.

 

Workshops

  • Theatre Workout guarantees to make every effort to tailor the content of your workshop or event to you and your group, working with you in the lead up to, and during the event, to ensure it meets you needs. We will continue to amend our techniques throughout your event to engage, entertain, educate and inspire creativity in participants.

  • In return, we expect your group to be open to instruction and be willing to work with us throughout the session without disrupting or blocking the techniques offered.

  • With student groups we actively encourage teachers to participate. We find that when they do, students are more engaged and responsive. We also want teachers to learn from us and take the techniques back to the classroom. For this reason we offer additional free resources on our website at www.theatreworkout.com/resources

  • Successful workshops rely on trust, collaboration and mutual respect between practitioners and students. We ask all involved to work together and support each other to ensure an positive experience is had by all.

  • Practitioners may suspend or terminate a workshop if they feel they are a victim of abuse, or if they feel a student is being abused by other students.

  • Online workshops may be recorded for internal administrative purposes and safeguarding. Clips may be used for external marketing only with participants concent. All participants are expected to behave as in a live workshop and respect the privacy and individuality of each other participant.

Third-Party Activities

  • Theatre Workout is not responsible for any incident of abuse or discrimination outside of workshops, but we take any complaints regarding such matters seriously. Any incident experienced by clients or our partners must be reported at the earliest opportunity. Theatre Workout will make every effort to address any concerns raised with the relevant parties.

General Ts & Cs
Booking Process:
Standard Bookings – West End, Outreach, Trips & all other Group Bookings

Our standard bookings terms and conditions apply to all bookings. We believe this allows us to offer the best availability and lowest prices to our clients. Group bookings differ from individual bookings in that groups usually benefit from discounts and services being reserved while payments are arranged. As part of this offer, such bookings are non-refundable and non-exchangable.

Workshops:

  1. Contact us with your workshop request, such as date, times, group size and the nature of the workshop you wish to book.

  2. We will book studios and reserve the booking for you, usually for about three weeks while you confirm details. Clients will be provided with an invoice, workshop booking form (to learn more about the group taking part and any learning objectives).

  3. Once payment has been received the booking will be confirmed and finalised. Clients will be provided with a paid invoice and a workshop voucher. Clients will be reminded to return their workshop booking form if it hasn't already been received.

​

Trips / Packages:

  1. Contact us to tell us what services you wish to book, when, and for how many people.

  2. We will create a bespoke itinerary and produce an estimate for those services. We will also provide the latest group travel and booking advice, a summary payment schedule, workshop development forms, and all other required information.

  3. If you wish to proceed, Theatre Workout will make reservations for required services and provide a final, quaranteed quote based on those services, along with any confirmed payment schedule and other required documentation.

  4. Some deposits may be required for reserving specific activities, such as accommodation and travel.

  5. Clients pay invoices according to their payment schedule.

  6. Once paid for, we will secure your bookings, forwarding tickets and vouchers accordingly.

Cancellations
  1. If you have an unpaid reservation you can cancel your booking at any time without charge.

  2. Once payment is received by Theatre Workout, bookings are confirmed with suppliers who are paid in advance. Your money is not held by Theatre Workout, therefore there are no refunds on paid bookings if you choose to cancel your booking, or fail to show.

  3. If a group fails to attend a booked workshop, or cancells after payment, no replacement workshop or refund will be offered.

  4. If a supplier agrees to the cancellation and refund of a paid booking, funds will be returned to the client, subject to cancellation fees of 20% per activity cancelled.

  5. If Theatre Workout is unable to deliver its own services (workshops and courses) on the day of the event due to issues out of its control, such as travel delays, practitioner's health, etc.

    1. For workshops in booked studios, such as in the West End or Stratford-Upon-Avon, Theatre Workout will offer a replacement workshop for a later time/date in agreement with the client where possible. or an outreach workshop in their school/venue. If this is not possible a full refund will be made.

    2. For workshops in schools, a cancelled workshop will be rescheduled for a later date with our apologies for the inconvenience caused. No refund will be issued.

Force-Majeure
  1. Force-majeure may result in the cancellation of bookings and services for reasons outside the control of Theatre Workout, it’s suppliers, or the client. This may be the result of acts of terrorism, global pandemics, epidemics, severe weather conditions causing flooding etc, or travel delays due to road traffic accidents or congestion.

  2. In the event of curtailment or cancellation of a booking due to travel issues which are out of the control of Theatre Workout, or the travel supplier, such as road traffic accidents, unavoidable road congestion, fallen trees over train tracks, etc, Theatre Workout will work with suppliers to find a suitable solution or alternative arrangements. If these cannot be arranged, Theatre Workout will take all measures to secure compensation from that service provider if there is any liability.

    1. Theatre Workout is not directly responsible for the provision of travel services and cannot offer any direct refunds or compensation, other than those made by the service provider.

    2. Neither Theatre Workout or the travel service provider is responsible for the cancellation of other services as a result of travel delays, such as missed theatre performances.

  3. In the event of short-term force-majeure, such as from acts of terrorism or serious weather events resulting in the forced, temporary closure or suspension of Theatre Workout’s own services, credit notes will be issued for replacement bookings at a later date once services can resume.

    • If short-term force-majeure results in the forced, temporary closure or suspension of third-party activities, such as theatre tickets, attractions, accommodation, etc, alternative options will be sought in the short term, otherwise refunds or credit notes will be issued at the discretion of suppliers.

    • In the event of force-majeure when there is no forced closures or suspension of services, but the client voluntarily cancels their trip or event due to concerns, no refunds will be offered.

  4. In the event of force-majeure resulting in long-term, forced closure or suspension of Theatre Workout’s services, we offer credit notes towards replacement workshops for alternative dates/times in agreement with the client.

    • In the event of force-majeure resulting in long-term, forced closure or suspension of schools, venues, theatres, or other long-term travel restrictions are imposed affecting clients or third-party bookings, refunds will be offered at the discretion of third-party suppliers, or credit notes will be offered.

  5. In response to COVID-19, third-party bookings through Theatre Workout, such as for tickets, accommodation, travel, etc, most suppliers offered exchanges, partial or full refunds in the event of lockdowns, venue closures, or school closure. This was determined on a case by case basis and all suppliers have different policies, out of the control of Theatre Workout. These policies are subject to change based on UK government advice.

    • With restrictions removed in the UK, most suppliers are no longer offering refunds, but they may consider exchange requests at their discretion

    • All cases are determined on a case by case basis and all suppliers have different policies, out of the control of Theatre Workout. These policies are subject to change based on UK government advice.

      • If clients request to rearrange their trip for alternative dates, we will aim to replace the booking with like-for-like alternatives for new dates. If this is not possible, alternative suppliers will be contracted and any additional costs will be invoiced to the client.

      • Theatre Workout will manage the rearrangement of the trip on the client's behalf without charge.

      • If clients choose to cancel their trip, Theatre Workout may request refunds where possible and return payments to the client once received. Suppliers may charge cancellation fees, which will be communicated to the client. 

      • Theatre Workout will charge a 10% cancellation fee for managing the cancellation of the trip on the client's behalf.

  6. Amending or cancelling a group booking due to COVID-19 can be requested within two weeks of the start of the trip, with a minimum of 72 hours’ notice. There is no guarantee requests will be accepted.

 

We strongly advise all groups to secure private group travel insurance to protect against booking cancellations or curtailment.

Booking Process
Force-majeure
Group Workshops & Participatory Events – West End Workshops & Outreach Programmes:

In order for your workshop or event to be successful a two-way relationship must be developed between our workshop or event leader(s) and your group. Participants, Group Leaders and Theatre Workout's Practitioners are all expected to adhere to our code of conduct.

Workshop Basics:
  1. All workshops are interactive, and you are advised to wear suitable attire or bring a change of clothing with you. Comfortable, loose-fitting clothing is ideal with suitable footwear.

  2. Heeled shoes, boots, tight-fitting or restrictive clothing is not advised. You may be asked to remove these items for health and safety, and for productivity reasons.

  3. You are also advised to bring with you bottled water, pen and paper

 

Q: Where will our workshop/event take place?

A: Venue names are always listed on your invoice and other booking documents. Workshop Venue addresses and map links can be found here.   

 

Q: How much do workshops cost? 

A: Prices depend on the nature of the booking you want to make. We make every effort to keep our costs low and to subsidise workshops for schools and youth groups, particularly from disadvantaged backgrounds, so have higher rates for leisure and corporate groups. Prices are generally based on the group size and event duration. Minimum rates apply:

School Groups: West End & Stratford-Upon-Avon Workshops

Educational West End or Stratford group prices are based on groups of 25+. Teachers go free but must be present and are encouraged to participate. Prices include VAT, studio hire, practitioners and tailoring to your group:

  • Two-hour workshop £21.50

  • Three-hour workshop £29.50

  • Full-day workshop (2 x three-hour sessions) £47.50

A surcharge of £2.50 per person applies for any workshops on film acting, armed stage combat, and make-up demonstrations, due to extra equipment and resources required.

​

School Outreach Workshops

Outreach workshops are based on one practitioner working with a group of up to 30 students per session. We can work with one group for the full duration of a booking, or with multiple groups in shorter sessions back-to-back to cater for more classes, thus splitting the cost among more students. Prices include VAT, your practitioner, tailoring to your group, travel, accommodation (where required), and other delivery expenses.

London Outreach

As a London-based company we are able to offer reduced rates to schools within the M25. Prices are based on one practitioner delivering all sessions:

  • Full-day London school from £700 per day + FREE teacher CPD session

    • One group of 30 from £23.33 per student

    • Two, three-hour workshops from £11.66 per student

    • Three, two-hour workshops from £7.77 per student

    • Four, 90-minute workshops from £5.83 per student

  • Half-day London school from £400 per booking

    • One group of 30 from £13.33 per student

    • Two, 90-minute workshops from £6.66 per student

Outreach - Outside the M25, within 2 hours travel of central London.

  • Full-day workshop from £890 per booking* + FREE teacher CPD session

  • Two-hour workshop: 15+ from £25, 20+ from £20, 30+ from £18 per person

  • Three-hour workshop: 15+ from 30, 20+ from £27, 30+ from 25 pp

  • Four-hour workshop: 15+ from £40, 20+ from £37, 30+ from 35 pp

  • Full-day workshop: 15+ from £50, 20+ from £47, 30+ from 45 pp

Adult Leisure & Corporate Groups
Leisure Groups

Private Leisure Groups, including individuals for private classes, along with small, medium and larger groups such as hen parties, families and social groups. Prices include VAT, West End studio hire, practitioners and tailoring to your group:

  • 90-minute event: Individuals & up to 10 people £435, Groups 11+ £40pp, Groups 15+ from £30pp, Groups 20+ from £25pp, Groups 30+ from £22.50pp

  • Two-hour event: Individuals & up to 10 people £500, Groups 11+ from £45pp, Groups 15+ from £35pp, Groups 20+ from £28pp, Groups 30+ from £25pp

  • Three-hour event: Individuals & up to 10 people £550, Groups 11+ from £50pp, Groups 15+ from £37.50pp, Groups 20+ from £32.50pp, Groups 30+ from £30pp

Corporate Groups

Business programmes aim to use our premium spaces in West End theatres, hotels and other top creative spaces with a higher ratio of practitioners to participants, compared to our other programmes. Prices include VAT, practitioners and tailoring to your group.

 

Groups of 15+:

  • Three hour events from £50 per person

  • Full-day events from £95 per person

  • Full-day with buffet lunch from £130 per person

Groups 30+

  • Three hour events from £45 per person

  • Full day events from £85 per person

  • Full day with buffet lunch from £120 per person

If a corporate workshop is taking place in the client's own venue, reduced rates are available, subject to location and duration. Contact us for a quote.

Q: Do teachers have to pay for workshops?

A: No, teachers accompanying student groups are free but must be present and we do encourage them to participate.

Q: Who leads the workshops? 

A: All Theatre Workout workshops are led by trained, professional theatre practitioners including actors, singers, dancers, directors, fight directors, make-up artists etc. Many of our team have performed in the West End, on national tours or have credits with companies like the RSC and National Theatre. Some have their own production companies but all have extensive experience leading workshops and have received training from Theatre Workout. All Theatre Workout practitioners are DBS checked and are covered by Theatre Workout's public liability insurance.

 
Q: Are there minimum or maximum numbers for your workshops? 

A: No. We will work with any group of any size, age, ability etc. However, for large groups we may split them between different studios with multiple workshops running simultaneously. 

 

Q: Are there any minimum fees for workshops? 

A: Yes. Prices vary depending on the nature of your event but based on the group rates listed above. Please contact Theatre Workout for more information.

Q: We're a school, charity or not for profit organisation, so do we have to pay VAT? 

A: Yes. VAT is included in all prices quoted but exceptions may apply to some hospitality services such as travel and some guided tours. Many schools and charities can reclaim VAT from HMRC but you do have to pay it in the first place. 

 

Q: What is the youngest age Theatre Workout caters for? 

A: This depends on the programme booked, but we do work with children from Reception age (4+). There is no upper age limit!

Q: Can I get a risk assessment?

A: Yes. A general risk assessment for workshops and other programmes created by Theatre Workout are available on request. Risk Assessments for specific venues, attractions, theatres or other service providers may be available on request.

 

However, the content of each workshop may vary based on the age, ability, and requirements of each group taking part. As such, Theatre Workout can not provide Risk Assessments for specific workshops. Further details of health and safety practices and training with our practitioners can be viewed here.

Theatre Workout cannot be held responsible for individual action of participants outside of the instructions given, which may result in accident or injury to the individual in question, or to others..

 

Should a client need to conduct its own risk assessment, arrangements can be made with suppliers. Please contact Theatre Workout at least three weeks ahead of your planned risk assessment date.

​

Q: How do you manage breaks?

A: During a standard two hour-long workshops no break is given. Students are permitted to use facilities within the venue if they need to go. Theatre Workout staff are not responsible for their supervision when outside of the workshop space.

 

During a workshop of more than two hours, toilet and refreshment breaks will be provided. Students and/or school staff must provide the groups refreshments unless arranged with Theatre Workout in advance.

Day Long Workshops: Theatre Workout may be able to arrange lunch to be delivered to the workshop venue by arrangement. Alternatively students can bring a packed lunch or make provision to purchase lunch locally.

 

Most studios do not allow consumption of food without permission. If you want to hire the studio for your group to eat packed lunches etc after your workshop, studios must be hired for the extra time and a member of Theatre Workout staff must be present to ensure the space is left as it was found as we are responsible for the studio.

Written permission must be received from Theatre Workout confirming the venue’s consent and the extra hire must be paid for.

​

If workshops are cut short to enable you to eat without the extra hire, written consent is still required and permission must be sought from the venue management.

​

Q: What happens if a venue is evacuated?

A: In the event of an emergency evacuation during one of our workshops or at any other venue, please follow venue staff instructions.

 

Please be aware that each workshop venue used by Theatre Workout will have its own evacuation procedure. Workshop leaders and group leaders should both take responsibility for checking evacuation procedures on arrival at the workshop venue

Details of the Assembly Point can be obtained from venue staff on the day of arrival.

Q: What happens if a workshop doesn't go ahead?

A: This depends on the circumstances and reason for cancellation.

 

If Theatre Workout is unable to deliver a workshop in a booked studio, such as in the West End or Stratford-Upon-Avon, Theatre Workout can either reschedule the session, subject to your availability; offer a replacement outreach workshop at a later date in their school or venue; or offer a full refund.

 

If you/your group fails to attend a booked studio workshop, there is no refund or replacement workshop.

If Theatre Workout is unable to deliver an outreach workshop in a school, the session can be rescheduled to the client's availability. To keep our prices as low as possible, we deliver with only one practitioner, so if they are unwell, or unable to deliver at short notice, we can only apologise for the inconvenience and reschedule for a later date.

​

Photography and Filming

Theatre Workout reserves the right to record any of its workshops for internal documentation, staff assessment, and quality control. This may include the taking of photographs or video.

​

If any images or recordings are suitable for marketing purposes, authorisation will be sought from the school and or students before use.

​

Theatre Workout permits clients the use of photography and filming in its workshops. Any copies provided to Theatre Workout for the companies own documentation would be gratefully received.

​

Permission to take photos or to film outside the workshop studio must be obtained from the venue management.

​

​

Accidents and illness

Theatre Workout staff are trained to avoid accident or injury in all workshops, however some workshop content may involve some degree of risk, such as in stage combat, or any other physically based workshop, such as dance or physical theatre. Practitioners will always exercise caution when conducting any exercise.

​

Theatre Workout can take no responsibility for unavoidable accidents outside of its control during the workshop or within the workshop venue, caused by individuals within the group, other persons within a venue, or by the physical venue itself.

 

In the event of a student suffering an accident during a workshop with Theatre Workout:

  • Both Theatre Workout staff and the group leader will establish what action needs to be taken and will put any measures in place together

  • In the event of minor issues, the affected individual should be cared for by group leaders/teachers while the practitioner continues with the workshop.

  • In more serious circumstances, a workshop may be terminated, especially if the health and safety of the group is of concern.

  • Theatre Workout staff may not be able to provide any form of medical treatment. If necessary, Theatre Workout or venue staff may contact the emergency services. The group leader must ensure that the child is cared for until further help arrives

  • Details of all accidents should be reported to the Theatre Workout main office in writing by both the workshop leader and the group leader

 

First Aid Kits are usually located within each workshop venue. Please consult venue staff if necessary.

Any known health or welfare issues affecting individuals within a group should be reported at the time of booking. Measures can be taken to avoid triggering any conditions.

Emergency contact details

Supervising teaching staff should have access to emergency contact information for the students in their care, and should have parental consent for the students to participate in any workshop with Theatre Workout.

DMC Hospitality services

Theatre Workout Travel produces bespoke group travel itineraries with a focus on creative eduactional travel. We're rated Good To Go by Visit Britain meaning we undertake all necessary precautions and risk assessments to ensure trips are delivered safely, following government advice concerning Covid-19. However, that doesn't make trips immune and issues can still occur.

 

This service includes theatre tickets, backstage tours, meals, travel by coach and train, B&B accommodation and more.

​

Tickets & Vouchers:

Tickets for theatre performances, attractions etc. may be forwarded to you if provided by the venue. However, in most cases, Theatre Workout will provide you with vouchers for any activity booked. 

​

No tickets will be sent to clients based outside the UK. Vouchers will be sent for all third-party activities by email and/or post. 

 

Vouchers will also be provided if despatched tickets are lost or stolen. Duplicate tickets will never be despatched a second time. If tickets do not arrive, or are lost, please ensure you notify Theatre Workout in advance so arrangements can be made.

 

Meal Bookings:

Restaurant reservations are advised when booking a group. Most restaurants will offer a set menu for group bookings, and request a pre-order for your group up to seven working days in advance of your visit. This will allow restaurants to make all necessary arrangements for your group to speed up service and ensure you can make later reservations and bookings. 

 

Travel:

Travel arrangements are usually exempt from VAT.

 

Train travel can only be booked up to twelve weeks in advance. If booking more than twelve weeks in advance, Theatre Workout can quote for travel based on current prices, but cannot guarantee availability or final prices until tickets are released for sale.

​

Coach travel can be booked in advance, and is generally considerably cheaper than train travel.

​

Theatre Workout is happy to arrange air travel, however prices change frequently and tickets cannot be reserved.

 

Theatre Workout does not supply flights.

​

Hospitality cancellations, delays and complaints:

Theatre Workout acts as an agent on behalf of its suppliers for all hospitality services and is therefore not responsible for the delivery of each activity booked. We operate under guidance from each supplier regarding the scheduling of each activity booked through Theatre Workout to prived clients with the best possible service.

​

Theatre Workout accepts no responsibility for any costs incurred to a client due to delays, cancellations or errors outside our controle, such as traffic congestions or other travel delays, or issues caused by a supplier, but will work on your behalf to rectify any issues.

​

Should an activity be cancelled by the supplier, a full refund will be sought by Theatre Workout on a client’s behalf at the earliest opportunity. Refunds will be offered to the client minus any non-refundable booking fees charged by Theatre Workout.

​

Should any costs be incurred by the client as a result of delays, cancellations or errors caused by the supplier, Theatre Workout will seek compensation on the client’s behalf for those services, but they are not guaranteed.

​

If a client cancels a 3rd party booking, Theatre Workout will request a refund from the supplier, but cancellation fees may be charged. Any refunds returned to the client will exclude booking fees charged by Theatre Workout or cancellation fees charged by the supplier.

​

Should a group be delayed, or they do not show for a workshop or other activity, no refunds will be issued.

​​

Theatre Workout strongly advises clients to arrange specialist school group travel insurance for their own protection, to cover any unavoidable delays or cancellations out of their control. ​

Q: How does Theatre Workout source third party suppliers?

A: As a member of various travel associations, Theatre Workout has long-standing relationships with many theatres, attractions, restaurants and accommodation suppliers. In many cases we work with suppliers direct and in other cases we use specialist agents to access the best trade offers which are not available to the public. This is particularly the case for restaurants, accommodation and coach hire. Our agents have a strong industry reputation and make every effort to ensure suppliers are suitable for our client's needs.

Q: Regarding Hospitality packages, is Theatre Workout a registered tour operator? 

A: Theatre Workout is a DMC (Destination Management Company) supplying packages to clients and to the travel industry. We offer an award-winning one-stop-shop booking service for tickets, tours, accommodation, travel, meals and attractions for groups on request, designed to give you a relaxed and enjoyable self-guided trip.

Theatre Workout is not responsible for the delivery of third-party services. We work with a network of trusted agents and industry partners to access the best quality services and prices on behalf of clients.

​

In the rare case of problems with services booked, these should first be dealt with by suppliers direct, but if the issue is not resolved we can assist. Theatre Workout will do everything within its power to liaise with suppliers to find a suitable solution on client's behalf. 

​

All third-party bookings are arranged in good faith but are not ATOL protected and may be subject to change or cancellation at the suppliers discretion. Once Theatre Workout is paid for a trip or activity, the supplier is paid in advance for their services. Cancellations for any reason are only refunded with the express permission and agreement of the supplier as per their terms and conditions.

Q: Does Theatre Workout Hospitality charge booking fees?

A: Yes. Booking fees are charged for hospitality services and activities. Fees are included in the total amounts shown on your invoice.

Due to the government's decision to close schools on Friday on Friday 20th March 2020, and impose a UK-wide lockdown with social distancing restrictions from Monday 23rd March 2020, Theatre Workout was unable to deliver booked activities. We expected to be able to resume business by September 2020.

 

This decision was out of the control of Theatre Workout.

 

  • Any booking cancelled by clients before the announcement to close schools will be treated as per our usual terms and conditions.

  • Any workshop booking cancelled due to UK Government restrictions from Monday 23rd March was offered a credit note towards a replacement workshop for a later date, minus any reasonable expenses incurred by Theatre Workout for work already carried out, as per the agreement for that trip. Replacement workshops can include West End, outreach or online bookings.

  • Any bookings cancelled for third party activities, such as theatre tickets and tours, will be treated as per that supplier's own terms and conditions with either refunds or credit notes offered accordingly.

  • From 21st July 2021, all cancellations will be treated as per our usual terms and conditions.

The latest guidance we have is that school trips can run from 17th May 2021 with the reopening of the hospitality sector. School groups travelling as a bubble are exempt from the "rule of 6".

​

Credit notes for cancelled workshop bookings can now be used on any workshop taking place before 31st July 2022, with payment processed by 31st March 2022 under our normal terms and conditions. Read more here.

Covid Protocol, updated 20th May 2022

There are now no mandatory rules regarding Covid 19, other than a recommendation you should isolate if testing positive. However, for the protection of our staff and all participants in our workshops Theatre Workout still recommends all workshop participants adhere to the following advice:

 

If you are feeling unwell and are displaying COVID symptoms, you should take a COVID test and should not join a workshop or trip if testing positive.

Q: Something went wrong - I want to complain. Who do I contact?

A: We take complaints seriously. We make every effort to ensure all our clients receive the best possible service by Theatre Workout, its partners and suppliers, but occasionally the best plans can go wrong. 

 

In the case of issues with Theatre Workout's workshops, everything will be done to ensure the session delivered meets your needs. Theatre Workout takes full responsibility for any issues relating to workshops, and will do what we can to remedy any concerns as quickly as possible. If unavoidable issues impact the delivery of your workshop causing delays or cancellations you will receive a refund or replacement booking, but Theatre Workout cannot take any responsibility for any additional costs incurred, such as for travel. 

 

In the case of any third party booking, such as for theatre tickets, travel or accommodation, Theatre Workout is not responsible for the delivery of these activities. Responsibility lies with the service provider, who should be your first point of contact if something goes wrong. Please speak with on-site staff straight away, but ensure you inform Theatre Workout of any developments. If on-site staff are not able to address your concerns, please contact Theatre Workout immediately and we will look into it on your behalf.

For clarity of information, all complaints must be made in writing by email. Please contact Theatre Workout on enquiries@theatreworkout.com with full details of your complaint, so we can log it against your booking and investigate with suppliers, practitioners, venues, etc.

Q: I want to protect my trip - what can I do? 

A: Certain aspects of your trip are protected. If a performance or other activity is cancelled by the service provider they are responsible for refunding you. However, they are not responsible for any impact on the rest of your booking, such as if a coach or train is diverted or breaks down.

Clients are advised to arrange independent travel insurance to cover all aspects of their trip, as booked with Theatre Workout.

​

Clients are advised to contact Theatre Workout in writing regarding any issue relating to Public Liability Insurance, or to request a copy of Theatre Workout’s insurance documentation.

Theatre Workout accepts no responsibility for any accident or event outside the programmes created by the company. For any issues relating to third parties (including, but not limited to hotels, restaurants, theatres, the streets of London, etc.) Theatre Workout may provide assistance, and groups are covered by that venue’s own public liability insurance.

Any issues relating to services from Theatre Workout’s partners should be reported in writing.

Academy Bookings

Academy workshops and courses are all programmes sold to individuals rather than groups. They include summer schools, holiday programmes, youth theatres, after-school clubs, Saturday schools, and CPD workshops for professionals.

 

  1. When booking a class, bookings are made for the whole term, not for part of the term

  2. All fee payments should be made at the time of booking

  3. If your child joins part way through a term, we will charge you a pro-rata fee

  4. You will be notified of new term payments at least 4 weeks before the new term starts

  5. If you want to pay via monthly payments, you must speak to us before the new term starts to discuss direct debit payments.

  6. All bookings require full payment to secure places. Payment is usually taken up-front, in advance by card via our website. Alternative payment methods are available by BACS.

  7. Weekly youth theatre and other regular programmes are paid for termly. Standing Order or Direct Debit payment options are available on request for monthly payments.

  8. Fees for exams are paid seperately as required.

 

Monthly Subscription/Payment

  1. If you wish to pay via monthly subscription, please notify us before the start of each term

  2. All monthly subscriptions are collected on the 1st of each month

  3. If you wish to cancel your monthly subscription, please write to us 30 days before your next payment is due. If you don’t give us at least 30 days’ notice, you will still be charged for the next month.

  4. If you need to update your payment details, please email us at enquiries@theatreworkout.com and we will send you confirm in writing

  5. We will communicate with you after 3 days if payment has not been made. We will attempt to call and write to you to check if details need updating.

  6. If payment is not made within 3 days after we’ve communicated the missed payment(s), your subscription will be cancelled and your child removed from the class.

  7. If you fail to make regular monthly payments, we have the right to refuse monthly payments as a payment option to you in the future.

 

Trials

  1. Trials are offered on some weekly Academy courses and can be booked with a one-off fee. Fees vary from one programme to another. If you wish to then enrol your child into the course, a pro-rata invoice will be supplied for the remainder of that term’s classes.

 

Academy Course Cancellations

  1. Cancellation of your place within the eight weeks of making your booking: no fee unless there are fewer than eight weeks until the start of the course. 

  2. Cancellation before 8 weeks of the start of your course: Free

  3. Cancellation within 8 weeks of the start of your course: 15% fee

  4. Cancelation within 6 weeks of the start of your course: 25% fee

  5. Cancellation within 4 weeks of the start of your course: 50% fee

  6. Cancellation within 3 weeks of the start of your course: 75% fee

  7. Cancellation within 2 weeks of the start of your course: 100% fee

  8. Cancellation of accommodation packages and other third-party bookings are subject to the terms and conditions of the supplier. These will be advised at the time of booking.

 

Child Information

  1. As your child’s parent or guardian, it is your responsibility to:

  2. Notify us of any medical, physical or learning conditions that your child has

  3. Ensure that all medications for your child are brought along to classes

  4. Ensure that your emergency contact details are up to date

  5. We aim to make our classes available to all. We ask that you notify us before booking a class or trial if your child needs any additional support. This will allow us to discuss your child’s needs. Please note we cannot provide one to one support.

  6. We will only share your child’s information with staff running the programme on which your child is enrolled.

  7. Regular breaks will be provided

  8. All children must be able to use the toilet unaided.

  9. Younger children should be provided with a change of clothing in case of any toilet related accidents. Staff will help children change if needed.

Lunch, snacks and drinks

  1. All participants must provide their own packed lunch, snacks and refreshments

  2. We ask that all foods be nut free

  3. We ask you avoid fizzy drinks and children are always provided with water alongside any other drinks

  4. We do not permit children under the age of 14 to leave the venue unsupervised to buy lunch without the written permission of parents/carers

 

Drop-Off/Collection

  1. Early drop-off and late collection is available on most courses and can be booked at the time of booking, or direct with Theatre Workout at a later date if required. If a child has not been booked for these sessions, parents must drop children off no less than 5 minutes before the start of the sesssion, and no later than 10 minutes after the end of the session.

  2. If parents are more than 15 minutes late they may be charged a pro-rata fee for the care of thier child as this incurrs staff and venue costs to the company.

  3. Repeated late collections may result in the full fee being charged. Failure to pay may result in the child not being allowed to attend until the fee is paid.

Data protection, usage and management:
  1. Theatre Workout may use your contact data for marketing purposes, to tell you news and other programme information related to your interests. You can opt out of this service at any time. If you unsubscribe, your data record may be kept for compliance purposes but we will not use it for future marketing. 

  2. Your data may be shared internally with practitioners and externally with supplier partners for the sole purpose of developing and delivering your booking(s).

  3. Theatre Workout will not sell or share your data in any way with other third party organisations.

  4. Data is stored securely in trusted, password-protected, online systems which are integral to the management and delivery of Theatre Workout's services. This may include, but not limited to, document storage (Drop Box), C.R.M. (Capsule), accounting (Xero), marketing (Mail Chimp), and payment (Pay Pal) platforms, which are accessible only by Theatre Workout staff. 

  5. Theatre Workout takes full responsible for the safe sharing of your data, and partner systems have been chosen in part due to their security features. Some data, such as names, telephone numbers and email addresses, may be stored locally on physical devises which are password protected. In the unlikely event of any data breech, Theatre Workout will work with our partners to ensure your personal data is protected to the best of our ability.  

  6. Your data may be kept as long as is legally permitted as part of Theatre Workout's commitment to deliver the best possible service to clients. Your data records may be deleted by Theatre Workout on receipt of a formal, written request.

Messaging Terms & Conditions

General

  1. When you opt-in to email or SMS marketing services, we may send you a message to confirm your signup.

  2. By opting into messages, you agree to receive recurring automated marketing and informational text messages from Theatre Workout. Automated messages may be sent using an automatic telephone dialing system to the mobile telephone number you provided when signing up or any other number that you designate.

  3. Message frequency varies, and additional mobile messages may be sent periodically based on your interaction with Theatre Workout. Theatre Workout reserves the right to alter the frequency of messages sent at any time to increase or decrease the total number of sent messages. Theatre Workout also reserves the right to change the short code or phone number where messages are sent.

  4. Message and data rates may apply. If you have any questions about your text plan or data plan, it is best to contact your wireless provider. Your wireless provider is not liable for delayed or undelivered messages.

  5. Your consent to receive marketing messages is not a condition of purchase.

  6. Carriers are not liable for delayed or undelivered messages.

  7. Cancellation: You can cancel any time by texting "STOP". After you send the SMS message "STOP", we will send you a message to confirm that you have been unsubscribed and no more messages will be sent.   11. Messaging Terms Changes: We reserve the right to change or terminate our messaging program at any time. We also reserve the right to update these Messaging Terms at any time. Child Supervision and Safeguarding
  1. Theatre Workout has a duty of care towards all participants, guests and practitioners in our workshops and courses,

    1. When working with school groups, group leaders/teachers with the group are ultimately responsible for students during the trip and responsible adults are required to be present at all times.

    2. A minimum of 1 teacher must remain with each student group at all times during our workshops. We actively encourage participation by teaching staff in our workshops.

    3. Should no supervising staff be present at any time, Theatre Workout’s staff may pause or end a workshop and remove themselves from the space until supervising teachers return.

    4. In an emergency, teachers are advised to follow evacuation instructions given by the venue, workshop leader, or other on-site venue staff, such as front of house, office and education staff being the first port of call.

    5. Theatre Workout recommends that students under the age of 14 are always escorted by an adult when they need to leave the workshop space for any reason.

    6. During courses, such as summer schools, Theatre Workout will ensure two practitioners are present to ensure student safety, and extra support staff are available when required.

  2. During school trips, Theatre Workout recommends school groups consist of at least 1 adult per 10 students.

  3. In the event that practitioners identify any concerns regarding a student’s welfare, or a student reports any issues to our practitioners, they are trained and advised to first listen and acknowledge the students concerns, then to report this to the group’s teachers and to Theatre Workout’s main office, so it can be reported back to the school.

  4. In the unlikely event teachers or students have any concerns regarding the welfare of students within a workshop, it should first be reported to the practitioner, or to Theatre Workout’s main office on 0208 144 2290. All reports must be followed up in writing.

  5. All workshop leaders and assistants are made aware of the Department of Health’s guidelines “what to do if you’re worried that a child is being abused” and would alert the Theatre Workout main office of any concerns.

  6. All Theatre Workout practitioners are DBS checked. All are professionally trained and have at least three years of professional experience in their field. They also have extensive teaching experience with Theatre Workout and other organisations.

Bullying and Discrimination
  1. Theatre Workout will not tollerate any instance of verbal or physical bullying, abuse, assault, racism, or any other form of descrimination (hereafter referred to as 'abuse'), against or by any students, participants, group leaders or practitioners.

  2. Any Theatre Workout practitioner witnessing any instance of abuse by or among students should report this to the group's leaders present, and will follow up with  Theatre Workout.

  3. Any practitioner who feels they have been abused during a workshop by students, group leaders or other participants, should report this to Theatre Workout and, where it is safe and right to do so, with the group or group leaders direct
  4. Any instance of abuse will be investigated by Theatre Workout and reported back to any parties concerned

    1. Once reported, should the practitioner continue to witness ongoing or persistant abuse, they may address the issue and change the focus of the workshop to do so,

    2. In severe cases practitioners may suspend or terminate a workshop until they are satisfied the issue has been addressed

  5. Should a student or group leader witness any instance of verbal or physical abuse by one of Theatre Workout's practitioners, they should report the instance to Theatre Workout immediately.

    1. If a teacher or group leader is concerned for the wellbeing of a group due to any form of abuse by practitioners, they may suspend or terminate a workshop

    2. All reports must be followed up in writing and Theatre Workout will investigate

    3. If a practitioner is forced to terminate a workshop due to concerns over abuse within the event, no refunds will be issued.

  6. In serious cases, practitioners or Theatre Workout may report incidents to the police or social services

Employee Rights
  1. Theatre Workout contracts all practitioners on a freelance basis and they are paid for their time and expertise.

Health and Safety
  1. Theatre Workout has taken measures to meet relevant Health and Safety policy and current legislative requirements.

  2. All practitioners, staff and participants have the right to conduct and experience their activity with minimal risk to their health and safety.

  3. Theatre Workout conducts regular inspections of hired venues and reports any discrepencies to the management of that venue.

  4. Practitioners receive health and safety training to ensure exercises are delivered with minimal risk.

  5. Formal Risk Assessments are not available for our workshops and courses given the bespoke nature of the programmes we deliver. Every workshop is planned individually, and content may be ammended to accommodate an individual groups ability during the session.

  6. At the start of any event run by Theatre Workout, an assessment of the physical space will be made for any possible risks. Activities and teaching practices may be amended to accommodate any risks.

  7. Practitioners will always ensure exercises and activities are delivered with clear instructions to minimise risk, and constantly supervise activities to monitor behaviour which may pose a risk to others.

  8. Some venues are able to provide 'standard risk assessments', but groups are invited to conduct their own assessments tailored to the needs and requirements of their specific group.

  9. For third party services, such as accommodation, restaurants and attractions, suppliers will have their own risk assessments, insurance and policies in place to minimise risk to clients. Individual risk assessments can be conducted by group organisers.

Environment
  1. Theatre Workout is a micro business which does not own or operate its own venues.

  2. Office systems and practices are conducted online and are paperless to the best of our abilities

  3. Operating out of shared spaces or from home, venues are hired for traning events, workshops and courses as required and efforts are made to ensure these venues are not in breach of environmental regulations.

Discount Codes:
  1. Discount codes must be quoted at the time of booking and cannot be applied once the booking has been confirmed.

  2. Discounts are only offered on workshops and terms and conditions apply, These may vary from one offer to another and may be restricted to:

    1. Booking deadlines (e.g. book by 1st April 2024)

    2. Available on bookings taking place between certain dates

    3. May only be available on certain products, such as on Outreach workshops, workshops for a specific show or on a specific topic.

    4. May only available if booked as part of a package or in conjuction with other activities, such as workshop + theatre tickets

      1. A Package is defined as workshop plus at least two other elements, such as: workshop + theatre tickets + accommodation, or workshop + theatre tickets + coach hire

  3. All standard terms and conditions apply
